# How to reschedule or cancel an interview
Open the interview in **Calendar** and choose **Reschedule** to move it, or **Cancel interview** to call it off. Kendor then drafts the email for you. The attached calendar file replaces or removes the old entry, and the reminder follows the new time.

## Move an interview yourself

Select the interview in **Calendar** and choose **Reschedule**. The **Move this interview** dialog opens with the current details. Change what you need, then choose **Save & draft email**.

What happens next depends on the booking mode:

- **One fixed time**: set the new time under **When**. A confirmed interview goes back to **Awaiting confirmation**, because the candidate agreed to the old time. The composer opens with the **Interview moved** email and an updated calendar file attached.
- **Candidate picks a slot**: saving clears the booked time and the candidate picks again from your painted hours. The composer opens with **New times offered**. To move them to one exact time instead, switch to **One fixed time**.

Changing only the interviewers, the type or the notes doesn't count as a move, so a confirmed interview stays confirmed. The composer still opens; close it if there's nothing to tell the candidate.

You can't edit an interview that's **Done**, **Canceled**, **Declined** or a **No-show**. Schedule a new one instead.

## Answer a request for new times

When a candidate asks for other times, the interview shows **New times requested**. Their message appears under **They asked:**, and **Calendar** counts the request at the top of the page.

Open the interview and choose **Send new times**. Paint new availability or set a fixed time, then choose **Send new times** again to draft the reply.

Until you answer, any time already booked stays in place. A request isn't a cancellation.

## What the candidate can do from their link

The candidate uses the same link from their invitation. They don't need to sign in.

- **Confirm a time you set.** For a fixed or moved time they see **Does this time work?** and choose **Confirm this time**. The interview becomes **Confirmed**.
- **Move it themselves.** If they picked from your availability and **Self-rebook until** allows it, **Need another time?** opens **Pick a new time**. Their current slot stays until they confirm a new one. After the cutoff, the same button asks you for a new time instead.
- **Ask for another time.** **None of these work** or **This doesn't work — suggest another** opens **Ask for another time**, where they write when they're free and choose **Send request**.
- **Withdraw.** **Can't make it at all** or **Withdraw from the process** asks them to confirm with **Yes, withdraw**. The interview becomes **Declined**.

You're notified each time a candidate books, moves, confirms, asks for new times or withdraws. So are the interviewers, if the **Notify … when it's booked** box was checked.

## Cancel an interview

Open the interview, choose **Cancel interview**, and confirm. The slot leaves your Calendar straight away. Kendor then opens the composer with the **Interview canceled** email.

> **Note.** The candidate's calendar entry is only removed once you send the cancellation email. If you close the composer without sending, their calendar still shows the interview.

A canceled interview can't be reopened. To meet later, schedule a new one.

## How calendar invitations update

Every interview keeps one calendar entry for its whole life. When the time moves, Kendor sends the entry again with a higher version number. Calendar apps such as Google Calendar, Outlook and Apple Calendar then replace the old event instead of adding a second one. A cancellation sends a cancel notice for the same entry, which removes it.

These emails carry the `.ics` file:

**Interview invitation, pick a time**, **New times offered**, reminders and nudges carry no calendar file, because there's either no time yet or the candidate already has it. After **New times offered**, the old entry stays in the candidate's calendar until they book a new slot, and the receipt then replaces it.

## Reminders

With **Remind both sides 24 h before** checked (it's on by default), Kendor sends reminders in the 24 hours before the interview:

- The candidate gets **Reminder, day before**, with the time and the join link. For a Kendor room, the join button opens 10 minutes before the start.
- You and the interviewers get a "Tomorrow" notification.

Only interviews that are **Awaiting confirmation** or **Confirmed** get a reminder. If a time is set less than 24 hours ahead, no reminder is sent, because the invitation or receipt has only just gone out. Moving the interview arms the reminder again for the new time.

## Nudges for unanswered invitations

With **Nudge if still unconfirmed after 48 h** checked, Kendor emails **Still waiting on a time** once. It goes out when an interview is still **Awaiting confirmation** 48 hours after the latest invitation or time change. The **Waiting on the candidate** strip in **Calendar** shows when a nudge is queued or was sent.

To send one right away, open the interview and choose **Nudge now**. You can press it as often as you need. Nudges aren't available for **My own scheduling link**, because Kendor can't see bookings made there.

> **Tip.** To change the wording of any of these emails, edit its template under **Settings → Emails**.
